Montage is looking for a Payroll and Finance Coordinator to join our growing team. Qualified candidates will have the detail orientation, knowledge, and experience to support both agency and programmatic needs within our finance team.

This is a full-time, exempt position, working a blended schedule of time in-office at Montage’s Rockville, MD location and remote work from employee’s home office. Anticipated annual salary for this position is $62,000 - $72,000.

About the Role

This role works in partnership with our finance team to ensure the integrity of our payroll and accounting processes and procedures within Montage Marketing Group. The Payroll and Finance Coordinator will be responsible for the accurate and timely processing of semi-monthly payroll, as well as assisting in the proactive management of the full AP/AR cycles for multiple legal entities, all while maintaining a high-quality standard of work and accuracy.

Required Experience & Education

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting preferred.
  • 3-5+ years of experience as a Payroll and Accounts Payable and Receivable Specialist, Staff Accountant, or similar accounting role.
  • Advanced knowledge of database and spreadsheet tools such as Excel and accounting software.
  • Experience with Unanet preferred.
  • Experience with Paychex payroll preferred.

Job Responsibilities

Payroll

  • Check timesheets for accuracy.
  • Process payroll semi-monthly.
  • Enter data into spreadsheets, payroll, and time and expense software.
  • Handle direct deposit requests and data.
  • Process wage garnishments.
  • Make adjustments in pay for raises, bonuses, benefits, and other deductions.

Accounts Payable

  • Proactive in managing full A/P cycle.
  • Ensure timely processing and entry of vendor invoices and payments in financial platform, Unanet.
  • Process paper checks for distribution.
  • Maintain precise records of all vendor payments.
  • Assist with review of timesheets and expense reports to ensure correct coding, amounts, and receipts.
  • Liaise with team member to correct any inaccuracies.
  • Bank and credit card reconciliations.
  • Monitor 1099 vendor files for accuracy and up to date W9’s tax reporting.
  • Complete special projects on an as-needed basis.

Accounts Receivable

  • Manage the accounts receivable function by preparing, posting, verifying, and recording customer payments and transactions.
  • Process customer payments and deposits in compliance with company procedures.
  • Assist with client billing at End-of-Month (EOM) and preparing invoices.
  • Pull and analyze AR aging report and follow up on any past due receivables.
  • Research and resolve any discrepancies.
  • Reconcile the AR ledger to ensure all payments are accounted for and posted.
  • Maintain and update customer files, including name or address changes.
  • Perform other related duties as assigned.

  • Exceptional customer service (negotiation skills preferred).
  • Strong communication and organizational skills.
  • Multitasking abilities.
